Short answer
ChatGPT for business means a ChatGPT Business or Enterprise workspace, not staff on personal Free or Plus accounts. As listed on 19 October 2026, a Business Standard seat costs NZ$33 a month billed annually (NZ$41 monthly), with a two-seat minimum and no training on your data by default. It is a strong general assistant for writing, analysis and research, but prompts are processed overseas.
- ChatGPT Team was renamed ChatGPT Business on 29 August 2025.
- Business Standard is NZ$33 a seat monthly on annual billing; GST treatment is not stated.
- Free, Go, Plus and Pro content is used for training unless you opt out.
- Data residency is Enterprise or Edu only; Australia stores data but does not process it.
- Business bills every purchased seat each cycle, assigned or not.
What ChatGPT is good and bad at for NZ business work
ChatGPT is OpenAI’s general-purpose AI assistant, and for most New Zealand businesses it earns its keep on the writing and analysis that sits between systems: replies to customers, first drafts of proposals and policies, summaries of long PDFs, and quick analysis of spreadsheets exported from Xero or a CRM. Since 7 October 2026 every ChatGPT user, free and paid, has been on the GPT-6 model family, which replaced GPT-5.6 Sol and Luna in the app.
Where it is strong:
- Drafting in a consistent voice, once you give it your house style, prices and policies.
- Working through files: uploads, data analysis, interactive tables and charts, and extensions for Excel, Word, PowerPoint and Google Sheets, as listed in OpenAI’s plan comparison on 19 October 2026.
- Research with sources through deep research, which you then check.
- Longer tasks in ChatGPT Work (OpenAI’s agentic work product) and coding in Codex, both included in Business seats.
Where it is weak:
- New Zealand specifics. It will state GST, employment or tenancy rules with confidence and sometimes answer with Australian or US law. Give it the source document rather than asking from memory.
- Your own data. It knows nothing about your customers, jobs or prices unless you upload files or connect apps.
What ChatGPT costs in New Zealand
From a New Zealand IP address, OpenAI’s pricing page shows NZ dollar prices. It does not say whether they include GST, so confirm on your first invoice before budgeting GST-inclusive figures.
| Plan (as listed on 19 October 2026) | Price shown to NZ visitors | Billing | What matters |
|---|---|---|---|
| Free | NZ$0 | None | Unlimited text chats with GPT-6 within abuse guardrails; limited uploads, deep research and Codex |
| Go | NZ$14 a month | Monthly | Individual plan; OpenAI says it “may include ads” |
| Plus | NZ$40 a month | Monthly | Individual plan with Projects, scheduled tasks and custom GPTs |
| Pro | From NZ$190 a month | Monthly | Three tiers, listed at US$100, US$200 and US$500 in OpenAI’s help centre |
| Business, Standard seat | NZ$33 a month billed annually, NZ$41 billed monthly | Per user | Minimum two seats; pitched at teams of 2–200 |
| Business, Premium seat | NZ$165 a month billed annually, NZ$205 billed monthly | Per user | Five times Standard usage, no 5-hour limit, Dots always-on agents |
| Enterprise | Custom, via sales | Annual | Credit or token pricing, SCIM, key management, data residency |
Worked example in NZD (GST treatment unconfirmed): a nine-person team on Standard seats pays 9 × NZ$33 = NZ$297 a month on annual billing, or 9 × NZ$41 = NZ$369 on monthly billing. Annual billing saves that team NZ$864 a year. OpenAI charges for every seat you have bought each cycle, whether or not it is assigned, so buy for the people who will use it, and mix Standard and Premium seats rather than giving everyone Premium. Business does not include API usage, which is billed separately, and nonprofits can get up to 75% off Business or Enterprise through OpenAI for Nonprofits.
Where your data goes, and what the Privacy Act expects
The plan decides whether OpenAI may use your content for its own purposes.
- Free, Go, Plus and Pro: the plan comparison says content is used to train OpenAI’s models, with an opt-out available.
- Business, Enterprise and Edu: not used for training by default, including content reached through connected apps.
- Retention on Business: workspace admins control how long data is kept. Deleted or unsaved conversations leave OpenAI’s systems within 30 days unless the law requires longer.
- Location: data residency at rest is offered only to Enterprise, Edu and eligible API customers, in ten regions that include Australia but not New Zealand. In-region processing is limited to Europe, the US and the UAE. Assume every prompt is processed overseas.
Why the plan matters: under section 11 of the Privacy Act 2020, a provider that only processes personal information on your behalf is treated as part of your organisation, and you remain fully responsible for it, including security under IPP 5. The Privacy Commissioner gives AI training as an example of a provider using information for its own purposes. Sharing data on those terms can be a disclosure under IPP 11, and because OpenAI is offshore, IPP 12’s cross-border rules then apply. A Business workspace with training off is the cleaner position. On any plan, the Commissioner’s advice is not to enter personal or confidential information unless the provider has confirmed it is not retained or disclosed. Our lesson on protecting customer information when using AI turns this into daily rules.
Connecting ChatGPT to the software NZ firms use
ChatGPT apps, renamed from “connectors”, let it search and act on data in other services, including Google Drive, SharePoint, Teams, Outlook, Slack, GitHub, Box and Notion, depending on plan, region and role. In Business, apps are on by default and admins set availability for the whole workspace; per-group app access needs Enterprise or Edu.
Local software, as checked on 19 October 2026:
- ServiceM8 is an approved plugin in ChatGPT, with tools to search jobs and clients, create jobs from templates, add notes and check staff availability. See AI and ServiceM8.
- MYOB offers a read-only MYOB Connector for ChatGPT and Claude, which the business owner must allow in My Account first.
- HubSpot and Pipedrive both run official MCP servers with ChatGPT setup guides.
- Xero: the Xero announcements we reviewed (July to October 2026) name Claude, Microsoft Copilot and Gemini integrations. We did not find an equivalent Xero app for ChatGPT on those pages.
Business, Enterprise and Edu workspaces can also add custom MCP apps. OpenAI does not verify them, and its developer documentation warns that a malicious remote MCP server can exfiltrate anything in the model’s context.
Starter project: a house-style reply assistant in one week
This tests ChatGPT on routine enquiries, which almost every NZ business answers daily, and gives you numbers to decide on. Use a Business workspace, or remove personal information first.
- Collect 20 real enquiries. Pull last month’s routine emails: quote requests, availability, “do you cover Lower Hutt”. Delete names, phone numbers, addresses and order numbers.
- Write a one-page house brief. Prices as you quote them (say whether they include GST), service areas, turnaround times, things you never promise, and three replies you were proud of.
- Set up a Project. Business seats include Projects and custom GPTs. Create a Project called “Customer replies”, upload the brief and current price list, and keep every test chat inside it.
- Run the prompt below on each enquiry. Paste the enquiry under the instructions. Do not edit the draft yet.
- Score every draft. Record three things: facts correct (yes or no), tone right (yes or no), and minutes needed to make it sendable. A wrong price counts as a failed draft.
- Decide with the numbers. If at least 15 of 20 drafts are correct and editing takes under two minutes, roll it out to the people who answer enquiries, with a rule that a person sends every reply.
You draft replies to customer enquiries for [Business name], a [trade or service] business in [city], New Zealand.
Use only the house brief and price list in this project. If the answer is not in them, add a note to me saying what is missing and put a [CHECK] marker in the draft. Never invent prices, dates or availability.
Write in New Zealand English, plain and friendly, under 150 words. State whether prices include GST exactly as the price list does. End with one clear next step for the customer.
Enquiry:
[paste the enquiry with personal details removed]
The [CHECK] marker turns a confident guess into a visible gap. More on prompt structure in writing useful business prompts.
When to choose ChatGPT over Copilot, Claude or Gemini
Choose ChatGPT Business when your team wants one strong general assistant, drafts and analyses a lot, and is not already paying for AI inside its office suite. Look elsewhere first when:
- You run on Microsoft 365 and want answers grounded in mail, Teams and SharePoint. Read Copilot versus ChatGPT, because free Copilot Chat may already cover basic drafting.
- You run on Google Workspace. Gemini is included in Business plans, so see Gemini versus ChatGPT before adding seats.
- Your work is long documents, careful writing or Xero data. Test it against Claude, covered in ChatGPT versus Claude.
Many teams end up with two assistants. That works if your policy says which one may see which data.
Where ChatGPT goes wrong
- Unassigned seats. Business bills every purchased seat. Review the seat count monthly.
- Apps on by default. A connected SharePoint or Drive app can surface files in a chat that staff should not see if folder permissions were already too broad. Fix permissions before connecting.
- A moving product. OpenAI retired GPT-4o, GPT-4.1, GPT-4.1 mini, o4-mini and GPT-5 from ChatGPT on 13 February 2026, and GPT-5.1 on 11 March 2026. A prompt tuned on one model can behave differently on the next, so keep your 20 test enquiries and rerun them after each change.
- Prices and allowances that shift. Plan descriptions on the pricing page changed between two captures on the same day, and new Pro 200 subscribers got a smaller usage allowance in late September 2026. Re-check before renewing.
- Confident errors. Treat statements about NZ law, tax or a customer’s account as unverified until checked.
