Short answer
Gemini for business is Google’s AI built into Google Workspace, included in Business and Enterprise plans rather than sold separately, so most NZ Workspace customers already pay for it. As listed on 19 October 2026, Business Standard at NZ$21 per user a month is the first plan with Gemini in Docs, Sheets and Slides. Google says Workspace content is not used to train models outside your domain without permission.
- Gemini is included in Workspace Business and Enterprise plans; there is no separate seat to buy.
- Business Starter (NZ$10.50) has Gemini in Gmail only; Standard (NZ$21) adds Docs, Sheets and Slides.
- Google’s NZ page shows NZD but does not state GST or clearly confirm the billing term.
- The Sheets AI function allows 5,000 uses a month on Business Standard and Plus.
- Google has no New Zealand cloud region, so plan for offshore processing.
What Gemini for business includes
Gemini is Google’s family of AI models and the assistant built on them. For a business, “Gemini” mostly means the AI inside Google Workspace: Gemini in Gmail, Docs, Sheets, Slides and Meet, the Gemini app with a work account, and Gemini Notebook (formerly NotebookLM). Google includes these features in Workspace Business and Enterprise plans rather than selling them as a separate add-on, and the plan you are on sets how much of each you get.
That changes the buying question. A New Zealand business already on Workspace is usually not deciding whether to pay for Gemini. It is deciding whether its current plan includes enough, and whether staff actually use it.
What it is good and bad at for NZ work
Gemini works well on tasks inside Google’s apps: drafting and summarising email threads in Gmail, turning rough notes into a Doc, recapping a Meet call, and classifying or summarising rows in Sheets. Google’s newest model, Gemini 4 Argon, began rolling out in the Gemini app to Google AI Pro and Ultra subscribers on 13 October 2026; those release notes do not say when Workspace users get it.
It is less useful when the data is elsewhere. Job, accounting and CRM records in ServiceM8, Xero or HubSpot are not visible unless someone connects them. Business Starter’s Gemini is limited mostly to Gmail. And Google’s own help pages warn that Gemini features “may suggest inaccurate or inappropriate information”, which is exactly what happens when it is asked about NZ tax or employment rules without a source.
What Gemini costs in New Zealand
The Workspace pricing page viewed from New Zealand says “All prices $NZD” and “All plans billed monthly”. It does not mention GST. It also offers an “Annual (Save 16%)” toggle, but the list prices below did not change when we switched it, so confirm the billing term at checkout.
| Workspace plan (as listed on 19 October 2026) | NZD per user a month | Gemini included |
|---|---|---|
| Business Starter | $10.50 | Gemini in Gmail; limited Gemini in other apps; no Sheets AI function |
| Business Standard | $21 | Gemini in Gmail, Docs, Meet and more; expanded Gemini Notebook and Gemini app |
| Business Plus | $33 | As Standard, plus Vault, eDiscovery and stronger security controls |
| Enterprise | Contact sales | Adds enterprise data regions and data loss prevention |
New customers see introductory discounts (for example Starter at $8.40) for up to 20 users for 12 months. Starter, Standard and Plus are capped at 300 users.
Worked example (NZD, GST and billing term to confirm): a 15-person firm moving from Starter to Standard to get Gemini in Docs and Sheets pays 15 × ($21 − $10.50) = $157.50 more a month at list price, or $1,890 a year. That is the real price of Gemini for that firm.
Two add-on changes matter. “AI Ultra Access” can no longer be bought, and existing subscriptions move to “AI Expanded Access”, which raises monthly limits (the Sheets AI function goes from 5,000 to 25,000 uses a month). We found no official price for AI Expanded Access. Users moving off AI Ultra Access also lose Gemini CLI, Code Assist, Antigravity and Flow through that add-on.
How Google handles your Workspace data
Google’s Workspace privacy hub says customer content is not used for other customers, and is not human-reviewed or used to train generative AI models outside your domain without permission. This covers Gemini in Workspace, the Gemini app and Gemini Notebook on qualifying editions. Personal Google accounts are governed by Google’s consumer terms instead, which is the gap to close: staff using a personal Gmail login for work prompts are outside the Workspace commitments.
On location, Google announced an Auckland cloud region in 2022, but its region list updated 15 October 2026 shows only Sydney and Melbourne in Australasia. Only Enterprise lists “enterprise data regions”. Assume Gemini processing happens offshore.
Under the Privacy Act 2020, the issue to watch with Gemini in Sheets is less about where data goes and more about accuracy. If an AI-generated label such as “complaint” or “bad payer” lands in a customer record and drives how you treat that person, IPP 8 expects you to take reasonable steps to check it is accurate first. Keep AI columns visibly separate from verified data.
Gemini alongside Xero and other NZ systems
Xero announced on 14 October 2026 that it is bringing real-time financial intelligence to Google Gemini. As of 19 October 2026 we had the announcement title only, not the plan requirements or whether it can change data, so check Xero’s release before relying on it. For developers, Google opened official Workspace MCP servers for Gmail, Drive, Calendar and Chat to public developer preview in May 2026, covered in AI and Google Workspace. Workspace also includes Studio for automating everyday work across Google apps.
For document research across a folder of PDFs, Gemini Notebook is usually the better tool; see our NotebookLM (Gemini Notebook) guide. For developers prototyping on the Gemini API, see Google AI Studio.
Starter project: sort a month of enquiries with the Sheets AI function
This replaces a generic tutorial with a task that produces a decision: which type of customer enquiry to fix first. It needs Business Standard or above, since Starter has no access to the AI function.
- Export a month of enquiries. Put date, channel and message text into a Google Sheet, one enquiry per row. Delete names, emails and phone numbers before you start.
- Add a category column. Paste the first formula below into C2 and fill down. Only the first 350 AI cells generate in one batch, so work in blocks.
- Add an urgency column. Paste the second formula into D2 and fill down.
- Check 30 rows by hand. Count how often you agree with the category. Below about 25 of 30, tighten the category definitions and regenerate.
- Pivot by category. The biggest category is your first candidate for a template reply or an FAQ page.
- Draft with Gemini in Gmail. For the top category, draft replies with Gemini and have a person edit and send each one for a fortnight.
C2:
=AI("Classify this customer enquiry for a New Zealand [trade] business into exactly one of: Quote request, Booking change, Complaint, Invoice or payment, Other. Reply with the category only.", B2)
D2:
=AI("Does this enquiry need a reply within one working day? Answer Yes or No, then a reason of no more than eight words.", B2)
The AI function sees only the cells you pass it, returns text only, and cannot be nested inside another function such as IF. Our lessons on analysing a spreadsheet with AI and building customer FAQs from support tickets take the next steps.
Gemini, ChatGPT or Claude: how to choose
If you are on Workspace, start with Gemini because you are already paying for it, then compare honestly against Gemini versus ChatGPT and Claude versus Gemini using the same tasks. Add another assistant only where it clearly wins on work that matters, and say in your policy which tool may see which data.
Limits and failure modes
- Plan confusion. Staff on Starter will find features missing that colleagues on Standard have. Audit licences before training.
- Quota surprises. The Sheets AI function is capped at 5,000 uses a month on Standard and Plus, and hitting a long-term limit can block generation for up to a day.
- Stale AI values. Sheets does not prompt a refresh in every case when source data changes, so AI columns can go out of date.
- Shifting add-ons. AI Ultra Access was withdrawn mid-2026. Re-check what your plan includes at each renewal.
Getting staff to use Gemini on their actual work is a training job more than a licensing one; see AI training for business teams.
